Vehicle Booking System Co-ordinator

About the role

Reporting to the Landside Manager, as Vehicle Booking System (VBS) Co-ordinator, you will be responsible for ensuring that the Vehicle Booking System is administered in accordance with the rules and overarching objectives of DP World. The role will have a strong focus on customer service and good organisational skills. You will be a key liaise with various stakeholders.

Key accountabilities
  • First point of contact for all VBS enquiries
  • First point of contact for Biosecurity and ACS on VBS related matters
  • Develop and maintain effective relationships with clients and stakeholders
  • Issue updates for Customers, using the 1-Stop application.
  • Responsibility for VBS slot allocation by day and by carrier class
  • Coordinate X-ray logistics
  • Provision of accurate and timely advice on procedures and information systems
  • Accurate data entry
  • Super user of VBS rules and software
  • Forecasting and reporting on daily & monthly R&D performance and statistics;
  • Participate in ad-hoc projects.
  • Prepare or assist in the preparation of Operations reports.
Experience, skills and qualifications
  • Minimum of 2 years previous experience in transport/maritime/marine/stevedoring operations
  • Demonstrated ability to plan and manage workloads, work autonomously or as a member of a team so that timely and effective results are achieved
  • Proven ability to improve the efficiency and effectiveness of business systems, services, outcomes and in generating creative solutions for business problems and work practices
  • Provide administrative / costing support for Operations, Finance & Administration staff
  • Utilise standard industry computer packages such as Microsoft Word and Excel. Knowledge and experience in terminal, vessel, yard planning and control systems (e.g. Navis Sparcs Yard Planning System and Express Equipment Control System).
  • Knowledge of policies and procedures relating to the receipt and delivery of cargo
  • Thorough knowledge of terminal yard and vessel operations and capabilities of cargo handling equipment
  • Knowledge of Customs practices and bio-security rules and regulations will be well received  
  • Effective customer service, oral and written communication skills as well as planning and organisational skills
